What makes a brief useful
A good brief lets two suppliers quote for the same thing, and lets you check what you get against what you asked for. It needs to:
- Name the workflow and the owner. "AI for operations" can't be quoted. "Monthly client packs, owned by the Head of Client Operations" can.
- State the current cost. Without a baseline, no one can show improvement.
- List systems and information honestly, including the most sensitive data involved. That decides which tools are allowed at all.
- Define acceptance in testable terms. "Better reports" isn't testable. "95% of figures traceable to source, review in under 90 minutes" is.
- Keep open questions visible. Unknowns are normal. Hiding them leads to change requests later.
